How You Can Help
It takes the support of our entire
community to make this Foundation a success.
Parents, Teachers and Staff partner to create the fundraising auction
and to develop grant proposals that improve the educational experience in the
classrooms. Students create beautiful
objects d’ art for the auction. Local
merchants support the event with their very generous donations.
The board and auction committees are made
up entirely of volunteers maximizing the funds going to classroom projects.

Many
volunteers are needed for this year’s auction.
If you can help, contact Teresa Simanton or Carol Clute.
Oversees the entire planning and
execution. Establishes budget, ticket
price, goals, and schedule for all activities.
Procurement Chair
Organizes the efforts to gain donations from merchants,
parents, staff and families. Catalogs, values,
and stores donations, creates bundled packages, and allocates items to silent
and live auctions. Works closely with
catalog and advertising teams.
Coordinates thank you letters and postcards for donors.
Procurement
Interact with local businesses to seek
donations for the auction. Mail
letters, make phone calls and personally visit local businesses. Solicit Edmonds Elementary families for
possible donations.
Invitations
Design and create invitations and response
cards incorporating the auction theme.
Arrange printing, labels, bulk mailing and establish deadlines.
Decorations
Create and produce decorations that coordinate with the
theme of the auction. Set up any
decorations on the day of the auction.
Facilities
Book facility and catering for auction
night. Determine menu and room
layout. Coordinate music, sound system,
and auctioneer. Arrange licenses and
insurance. Acquires beverages for the
auction event and sets beverage ticket price.
Advertising
and PR
Creates innovative advertising campaign
targeted to maximize patron attendance at the auction. Writes and submits Orca News announcements,
press releases, and PTA communication.
Catalog
Compose and layout catalog. Creatively describe live and silent items
and bundled packages, menu, acknowledgements, and auction rules. Coordinate cover with invitations. Print, assemble and distribute catalogs.
Packaging
Work
with procurement to creatively assemble bundled “Gift Baskets” and
packages. Create poster boards
depicting certificates and other auction items not represented at the auction,
e.g. trips, services, etc.
Check Out
Work
with Treasurer to facilitate patron reception and checkout on auction
night. This includes charge card
transactions, and express checkout.
Student
Projects
Work with students and teachers to create
original art, decorative items and one-of-a-kind pieces for the auction.
Dessert
Frenzy
Approach restaurants and bakeries for
donations of 10-12 specialty desserts available for auction at the event. Accompany each dessert with a set of plates
and forks. Pick up and deliver desserts
to the facility.
Pick-up
Volunteers are needed to pick up
donations from donors, store and or arrange storage, and transport to the
auction site.
Set-up
Volunteers are needed to set out items and displays and
match bid sheets to each item. In
addition, technical assistance is needed to set up computers and peripherals
for reception and checkout.
Clean-up
Responsible for clean up of decorations,
and removal of all auction materials immediately following the conclusion of
the auction.
Auction
Night Volunteers
During the auction, volunteers are needed
as spotters, runners; coordinating items for pick-up and for drink and raffle
ticket sales.
